Frequently Asked Questions

What is CareSync?
CareSync is a shared space for families and caregivers to coordinate a loved one's medical care. Appointments, medications, and providers all live in one place, updated in real time so everyone helping stays on the same page.

Do I need to create an account?
No. CareSync uses your iCloud account, so there's no separate account or password to set up. You just need an iPhone running iOS 16 or later, signed in to iCloud.

Where is my information stored? Is it private?
Your data lives in your own private iCloud account. CareSync has no servers and never sees your information. It's shared only with the people you choose to invite to your circle.

How do I invite someone to my circle?
Open MyCircle and share your circle's invite link with family, friends, or caregivers. When you invite someone, you choose their access: an editor can add and change information, while a viewer can see everything but can't make changes. The circle owner controls each person's access.

Can several people use it at the same time?
Yes — that's the whole idea. When anyone updates the circle, everyone else sees the change right away, with no need to refresh.

Will I get reminders for appointments?
Yes. By default you'll get a reminder 24 hours and 1 hour before each appointment. If you've taken responsibility for transportation, you'll get a reminder for that too. You can turn notifications on or off in Settings.

How do I leave a circle?
Members can leave a circle from Settings. If you're the circle owner, you can manage members or remove all circle data from there as well.

Is CareSync HIPAA compliant?
No. CareSync is a personal coordination tool for families and caregivers, not a clinical system, and it isn't intended for professional medical record-keeping. The information you store is your own.

How much does CareSync cost?
CareSync is free.

CareSync says iCloud is unavailable. What should I do?
CareSync needs iCloud to work. Open your device Settings, make sure you're signed in to iCloud, and check that iCloud Drive is turned on. Then reopen the app.

Quick Start Guide

Getting set up

  1. Open CareSync and sign in to iCloud. CareSync uses your iCloud account — make sure you're signed in on your iPhone. There's nothing else to create.

  2. Create a Care Circle. Name it after the person you're caring for (for example, "Mom's Circle"). This is the shared space where everything lives.

  3. Invite your circle. Share the invite link with the family, friends, and caregivers who help out. Set each person as an editor or a viewer.

Using CareSync day to day

Calendar & appointments
Add any appointment — a doctor visit, lab work, imaging, a procedure, and more. Open an appointment to:

  • Claim transportation so everyone knows who's getting them there.

  • Add questions for the provider before the visit — the things you'd want asked but might forget in the moment.

  • Leave notes afterward so the whole circle knows how it went.

Tap any day on the calendar to see what's scheduled.

Medications
Keep a running list of current and past medications — name, dosage, schedule, and who prescribed each one — so no one has to guess or remember.

Providers
Keep the care team's details in one place: names, specialties, office locations, and phone numbers.

MyCircle
See who's in the circle and manage access. The owner can update permissions or manage members at any time.

Settings
Edit how your name appears to others, turn appointment notifications on or off, and leave a circle if you need to.

Staying in sync

Everyone in the circle sees updates as they happen. When one person adds an appointment or updates a medication, everyone's view refreshes automatically — no manual syncing required.
